Privacy Policy

Central Highlands Laser Cutting (“we”, “us”) is a laser cutting business in Kyneton, VIC. This policy explains what personal information we collect through this website and when you deal with us, what we do with it, and your choices. We handle personal information in line with the Australian Privacy Principles.

What we collect

  • Contact details — your name, email, phone number and company when you send an enquiry, ask for a quote, create an account or place an order, and your delivery address if you ask us to deliver.
  • Job details — the drawings, photos and files you upload, part specifications, notes and messages about your quotes and jobs.
  • Account and order history — quotes, orders, invoices and payments linked to your account, and an ABN if you give us one for a trade account.
  • Payment details — card payments are handled by Stripe. We never see or store your full card number; we keep a record of the payment (amount, date and reference).
  • Technical information — our hosting provider keeps standard server logs (such as IP address, browser type and pages requested) for security and troubleshooting. When you send an enquiry we also keep your IP address for a short time to stop spam.

How we use it

  • To prepare quotes, make and deliver your parts, and invoice and receive payment.
  • To reply to enquiries and keep you updated about your quotes, jobs and orders.
  • To help prepare design ideas, mock-ups and quotes, and to keep on top of our enquiries and jobs, using the AI tools described below.
  • To run your account, keep the website secure and fix problems.
  • To meet our legal obligations, such as keeping tax records.

We don't sell your information, and we don't send marketing emails unless you've asked us to. Emails we send are about your enquiries, quotes, jobs, orders and invoices.

AI tools we use

Our team uses some artificial intelligence (AI) services to help with designs and to keep track of our work. Our staff use these tools — you don't deal with them directly. Here's what they see:

  • OpenAI (ChatGPT) — when we're working up a design idea for you, our staff can send OpenAI a photo or sketch you've given us, along with a description of what you're after, to suggest designs and draw a mock-up of the finished piece. We don't send your name or contact details with these. Our business dashboard also sends OpenAI how much our top five customers have spent with us and how recently they ordered, to help us review our sales. These figures are labelled “Customer A”, “Customer B” and so on — we don't send names or contact details with them.
  • Anthropic (Claude) — our design tool sends Anthropic's Claude the sketches and photos you've given us, our notes on what you want, and your name (or your email address if we don't have a name for you), to prepare a design and quote for you. This runs either through Anthropic's online service or through Claude on our workshop computer, using our Claude account.
  • Our internal business assistant — this runs on Anthropic's Claude. It can read recent enquiries (your name, company, email, phone number and message) and a summary of quotes, jobs, orders and invoices (customer names, email addresses on quotes, amounts, dates and status). We use it to keep on top of our work — such as spotting enquiries and quotes that need a reply or a follow-up, and helping draft those replies. It can only read this information; it can't change your records.

The designs, mock-ups and notes these tools produce are kept with your enquiry, quote or job in our own systems.

Who we share it with

We only share what's needed with the services that run this website and our business:

  • Google — sign-in, our database and file storage (Google Cloud / Firebase), and our Gmail email inbox, where enquiries and emails you send us arrive.
  • Vercel — website hosting.
  • Stripe — card payments.
  • Twilio SendGrid — sending emails such as quotes, invoices and receipts.
  • ANZ — our bank, for bank transfers and, if you choose to pay an invoice by PayTo, your name, email and payment details to set it up.
  • OpenAI and Anthropic — the AI services described above.
  • Phone and browser notifications — when you send us an enquiry or a message, or pay an invoice, our staff may get a notification on their phone or computer with your name and the start of your message. These are delivered by the push service of the staff member's browser (for example Google, Apple or Mozilla).
  • Couriers or freight companies, when we deliver to you, and our accountant or professional advisers where needed.

Some of these providers store or process information outside Australia, mainly in the United States. OpenAI and Anthropic are based in the United States, so the information we send them (described above) is sent to and processed there. We choose providers with strong security and privacy practices, and only send them what's needed for the task. We may also disclose information where the law requires it.

Cookies and browser storage

We don't use advertising cookies, analytics trackers or third-party tracking on this website, so there's nothing to opt out of. Your browser does keep a few things on your device so the site works:

  • Your light or dark mode choice.
  • Your cart and any part designs you're working on.
  • Your sign-in session, if you sign in.

Stripe's checkout page sets its own cookies to process payments and prevent fraud. You can clear your browser's storage at any time.

Keeping it safe and how long we keep it

Your information is stored with the providers above, protected by sign-in, access controls and encryption in transit. Only our staff who need it for your job — and the providers and AI tools described above — can see it. Files you upload are linked to your enquiry, quote or order.

We keep records for as long as we need them for your work and our legal obligations — for example, tax law generally requires business records to be kept for five years.

Your choices

You can ask to see the personal information we hold about you, ask us to correct it, or ask us to delete your account. You can update most of your details yourself under Account when signed in. We may need to keep some records (such as invoices) where the law requires.
